My name is Ted Feely. We’re about to start working together to take the final steps setting up your domain’s email account at LocalReady.

It's not difficult. It will take only a few minutes, but the time we spend together here will help make sure that you get email working in a way that works well for you.

Also, this Step-by-Step Guide provides information to help you use email at LocalReady.

Before We Begin . . .

You need to have signed up for a LocalReady account that includes email. This means you have one of the following:

·         a Localready email account or

·         a Localready All-In-One Site account

Let’s get started.

Basic Information You Need

How Long Does It Take to Start Receiving Email?

Because it takes 24 to 48 hours for computers around the Internet to learn your domain name and where to send email to you, it will take that long before you can expect to receive any email at your new address. During that time, you can be setting up any users you want to receive email at your domain.

Two Important Terms: “Site Administrator” and “User”

n         Site Administrator

The Site Administrator controls the email account. The most important action that person takes is to set up and delete users. See, How Many Email Users Do You Need to Set Up? and Setting Up an Email User .

The Site Administrator is the person who knows and controls the user login and password for the email account. (This information is sent by email from LocalReady to the person who purchased the email account.)

The Site Administrator has overall control of your domain email (and, if applicable, your web) account.

n         User

A user is any email address the Site Administrator sets up to receive and send email. Email addressed to the user will not go to the Site Administrator’s account. It goes directly to the user’s account (email box).

How Many Email Users Do You Need to Set Up?

As the Site Administrator, one of the first things you should do is determine if you want or need to set up any user accounts.

n         If you have more than one person at your business who you want to send or receive email using a separate email address (such as "john-t@yourdomainname.com" or "johndoe@yourdomainname.com") then you will need to set up a user email account for each of those individuals. Doing so gives each person his or her own email account.

n         Good news. If you are the Site Administrator, you are already set up to send and receive email - we've already done that for you.  And, right now, until you set up users in your account, all email sent to your domain will automatically go into the Site Administrators account. If you are the only person who is going to receive email at your domain, you don’t have to do anything more to set up email. See Site Administrator’s Email FAQ for answers to specific questions.

n         Note:  One person at your business needs to receive all email that comes to your domain that is not addressed to a specific user account. Assuming that you are the Site Administrator, that person is you. In this case, we recommend that instead of setting up a separate email user account for yourself, that you use the existing site administrator's email account.

So, how many email users do you need to set up?  Answer the following questions and we’ll see if we can help.

Question: Are you the only person who will be receiving email specifically addressed to you?

If Yes – Then, you don’t need to set up any users. All email coming to your domain will go into the Site Administrators catch-all email box. You probably do want to let people know your new email address and that involves making sure you are giving them a valid email address. If you are not sure about the rules for setting up a valid email address, go to the next topic: See,How To Create a Valid User Name and Email Address .

That’s how many user accounts you’ll need to set up (minus one for yourself as the Site Administrator unless you have a desire to check two places for email – at your own email box and at the catch-all email box).

Setting Up an Email User

How To Create a Valid User Name and Email Address

The domain part of the email address (the part following the @ sign) is the same for all email addresses in your domain. For example, if your domain is "mylocabiz.org" then all of your email addresses will have “@mylocabiz.org” on the end of them.

The username part of an email address (the part before the @ sign) has some rules to follow.

n         Use only the following characters: letters (a, b, c... z, A, B, C…Z), numbers (0, 1, 2... 9), a dash (-), an underscore ( _ ) and the dot ( . ).

n         No spaces are permitted anywhere in the email address.

n         In many email addresses, the username is a combination of the first name and the last name.  For example, "john.doe", "jdoe", "doe_john" "johndoe" or "john-doe".

n         Here are some examples of valid and in-valid email names.

Suggestions for Setting Up User Names and Email Addresses

When selecting usernames, consider establishing a clear pattern for naming such as the following"

John@yourdomainname.com

JohnDoe@yourdomainname.com

Doing so makes it easier for people to guess email addresses if they know an employee’s name.

How to Access Your Email Account

In the steps that follow, you will see how to access your email account. You’ll do this if you want to set up a new email user account or set up an alias for yourself if your’re the Site Administrator.

1)       Refer to the email messages LocalReady sent to you. They contain your login and password as well as your domain IP (ip) address. (An IP address uniquely identifies your address on the Internet.)

2)       Open your web browser (for example, Internet Explorer or Netscape).

3)       Place your email account address in the web browser address window. Before your domain email name is fully propagated around the Internet, enter the following substituting your IP address where it says : yourIPaddress

http://yourIPaddress/admin/  and press Enter.

For example:  http://65.18.140.186/admin/

And press the Enter or Return key.

After your domain name is fully propagated, you’ll enter your domain name (without the www) instead of your IP address.

4)       The following Security Alert will display.

 

5)       Click the "OK" button.

6)       The following Security Alert, or one similar to it, will display.

7)       Click the "Yes" button.

8)       The "Site Administrator Login" dialog box displays. (Your domain name will appear in the Domain field in place of mylocalbiz.org.)

9)       Enter your "Login" and "Password".  Note: Your Login and Password are case sensitive.  For example,  "John" and "john" are not the same logins because only one has a capital J in it.  The login that LocalReady initially sends you will be all lower case letters.

10)   Click the "Login" button.

11)   The "Site Administrator Shortcuts" page displays.

You are now on the main page of your email account.  (If you have a web hosting account this page will have some additional items on it.)

How to Add a User

Before you setup a new user, determine the new user’s email address. See, How to Create a Valid Email Address.

1)       With the "Site Administrator Shortcuts" page displayed (above), click the "Add User" link and the "Mailboxes / Users" page displays.

2)       Enter the username for the new user in the "Username" field.  For example, if the email address of the new user is johng@mylocalbiz.org, then the new user’s username will be “johng”. For guidelines on setting up a valid email address, see above.

3)       In the Fullname field, enter the full name of the user

4)       Enter the user Password (one of your creation) and reenter it in the "Confirm Password" field.  (Be sure to record it and keep it in a safe place. You will need to communicate both the username / email address and password to the user.)

5)       Enter a "Disk Quota." 
The number in the Disk Quota field indicates the number of megabytes of disk space you allocate for the user. Enter zero (0) to indicate no specified disk space quota.  If you are going to have more than about 5 users, you may want to set a number here to help you keep within the 50 megabytes provided with a LocalReady email account.

6)       Click "Add" to add the new user. Click "Reset" to clear all entries or "Cancel" to close the page without saving the entries.

How to Receive and Send Email

One of the powerful features of LocalReady email is that there are two ways to receive and send email with your LocalReady email account. You can use either or both ways.

·         Use your browser to carry out all your email actions. LocalReady provides “Squirrelmail”, a program specifically designed to make using your browser easy and efficient for email. Instructions for getting started with Squirrelmail follow below. See, Getting Started with Squirrelmail .

·         Use one of the popular email programs such as Outlook Express, Eudora, Netscape, or many others to download email to your computer. These programs are sold and distributed by their respective companies. Getting Started with Squirrelmail

There are two ways to check email using Squirrelmail. Here's the quickest method:

1)       In your web browser address window, enter the following substituting your domain name: (Don't put "www." in front of your domain name.)

2)       The Squirrelmail login displays.

3)       Enter the name portion of the email address in front of the @ sign. This is the part that identifies you as the recipient.

4)       Enter your password. Use the one assigned by your Site Administrator. If you are the Site Administrator then use the Site Administrator password.

5)       Click the Login button.

6)       The Squirrelmail main page for your email account displays.

7)       Squirrelmail is easy to use:

§         To Open an email message:  Click the Subject of the email.

§         To Compose an email message:  Click Compose.

§         To Delete an email message:  Click the checkbox next to the email and click the Delete button.


How To Set Up Email with Popular Email Programs

You can set up your domain’s email to work with these and other popular email programs:

·         OutLook Express

·         Eudora

·         Netscape , and others.

These programs have too many versions and change too often to provide detailed instructions here for their setup. However, the following insformation is designed to help make setup for these programs as easy as possible. First, we are providing a web link to each program’s web site (with the exception of Netscape).  Second, we are providing a table for you to fill in, with information about your domain account that will make it easier to set up each program.

What is an ISP (Internet Service Provider)?

This is the organization that connects you to the Internet. It may be your local phone company or it may be a specialized company that uses the phone lines to connect you to the Internet.  If you don't have an ISP yet, here are some links that should help you.

Site Administrator Email FAQs

When can I start receiving email at a new email account?

Once your account is setup by LocalReady, it takes about 24 to 48 hours before you can receive email at your new email address. (It takes this long for the Internet to propagate your domain name around the Internet so that your email address can be located when someone sends you email.)

As the Site Administrator, what is my email address?

As the Site Administrator, until you make some additions or changes to your email setup, all email that goes to your domain will go to your Site Administrators email box. Here's how to figure out the address of your Site Administrators email box:

1)       Start with your domain name.  For example, lets imagine it is "mydomain.com".

2)       Then your Site Administrators email address will be "mydomaincom@mydomain.com".  (No quotes are in the actual address.) Notice that the first part of the email address is just your domain name with the period taken out.

Do I have to use that email address?

No. Here’s what we recommend:

Decide what you want to use as your email address. Let’s assume it is yourname@yourdomain.com

Access your domain’s account and create an “alias” email account that will direct your email (“yourname@yourdomain.com “) to the Site Administrator, catch-all account. See, Creating an Alias Account

Doing this enables you to check just one account which is the Site Administrator account which will contain all of your email that is addressed to you at yourname@yourdomain.com as well as all of the other email going to your domain’s account.

As the Site Administrator, what information should I communicate to new users.

n         Login username and password.

n         How to sign into their email and to use their email.

n         General rules for using and not abusing the email.

What are some good rules for using and not abusing email?

What is the "Disk Quota in the "Mailboxes / Users" page?

The number in the Disk Quota field indicates the number of megabytes of disk space you allocate for the user. Enter zero (0) to indicate no specified disk space quota. I want to check out my new email address. How can I send email to my new address?

Until you make additions and changes to your email setup, you can send email to any one at your domain and it will end up in your Site Administrator's email box.

Important Note: for the first 24 to 48 hours after your email account is set up (and the same length of time is true for new web hosting accounts), your domain name will be propagating around the Internet and may not work fully.

For example, try addressing email to "mydomaincom@mydomain.com" (be sure to substitute your real domain name for "mydomain.com"). 

How do I receive my email (how do I check it)?

You can use the web-based browser email software that comes with LocalReady email - Squirrelmail - to check your email. See Getting Started with Squirrelmail .

Creating an Alias Account

An email “alias” is a method for directing email going to the alias email address to another email address. This is similar to having a postal address that the postman knows to deliver at another address.

An “alias” is very handy for the Site Administrator to use for the Site Administrator’s own email address.

For example, as the Site Administrator you may want to have your own email address – not just the Site Administrator email address – yet, you may not want to have to check two email addresses. Using the alias feature will enable you to direct your email into the Site Administrator catch-all email box so there’s only one email box you need to check.

Determine the email address you want to use as the “alias.”  This is a new email address that does not already exist.

The example that follows uses two email addresses:

·         Site Administrators catch-all email address – mylocalbizorg@mylocalbiz.org

·         The newly created “alias” email address for the Site Administrator’s use – myaddress@mylocalbiz.org

Start by accessing the email account setup pages and going to the Site Administrator Shortcuts screen .  See, How to Access Your Email Account

When you arrive at the Site Administrator Shortcuts screen, click on the “Configure Sendmail SMTP Server” option under “Services”.

The “Sendmail SMTP Server Manager” page displays.

Click the Add an Alias button. Then, the add Aliases screen displays.

Type the user name part of the alias email address in the text box to the right of  “Alias”. We’ve shown that already done here. Then, click on the :mylocalbizorg (mylocalbiz.org)” address found in the text box to the right of “Forward To:”.

Note that the “mylocalbizorg (mylocalbiz.org)” account is selected. Click the “Add Alias” button.

This completes creation of the alias “myaddress@mylocalbiz.org” and directs all email going to “myaddress@mylocalbiz.org” into the “mylocalbizorg@mylocalbiz.org” mail box.

The alternative to using an alias to set up the email address “myaddress@mylocalbiz.org” is to create a new user whose username is “myaddress” and whose email address is “myaddress@mylocalbiz.org”.  And by doing it this way, if you are the Site Administrator, you have two mail boxes to check rather than just one.
